Trips IQ
Privacy Policy

Effective [Effective date — e.g. "August 1, 2026"].

This Privacy Policy explains how [Trips IQ legal entity — e.g. "Trips IQ, LLC"] (“Trips IQ,” “we,” “us”) collects, uses, and protects information when you use Trips IQ — the website at tripsiq.com, our mobile apps, and related services (the “Service”). By using the Service, you agree to this Policy. It should be read together with our User Agreement.

Our promise: we do not sell your personal information, and we never will. We don’t rent or trade it either. We use it to run Trips IQ for you.

1. Information we collect

We collect the following, depending on how you use the Service:

  • Account information — your name, email address, and password (stored only as a secure hash).
  • Trip content — the trips, itineraries, notes, checklists, and files you add.
  • Travel documents — information you choose to store, such as passport details. Sensitive fields (like document numbers) are encrypted at rest.
  • Imported email content — when you forward a booking confirmation to your personal import address, we process that message to extract trip details.
  • Payment information — if you subscribe, our payment processor handles your card details; we receive limited billing information (such as a status and the last four digits) and do not store full card numbers.
  • Usage and device data — log data such as your IP address, browser or device type, and actions taken in the Service, used for security, auditing, and reliability.
  • Cookies and similar technologies — see the Cookies section below.

2. How we use information

  • to provide, maintain, and improve the Service and its features;
  • to extract details from booking confirmations you forward;
  • to show destination information such as advisories, safety, health, and things to do (which involves sending your destination or coordinates to the relevant provider);
  • to process subscriptions and payments;
  • to communicate with you about your account, support requests, and service updates;
  • to keep the Service secure and to detect, prevent, and investigate abuse; and
  • to comply with legal obligations.

3. How we share information

We share personal information only in these limited ways:

  • Service providers — vendors that help us run the Service (for example, cloud hosting and storage, email delivery, payment processing, and the mapping and information providers that power destination features). They may process information only to provide services to us.
  • Legal and safety — when required by law or to protect the rights, safety, or property of our users, the public, or us.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell your personal information.

4. Cookies and advertising

We use cookies and similar technologies for essential purposes (such as keeping you signed in and remembering your preferences) and to understand how the Service is used so we can improve it. Our cookie banner lets you choose which non‑essential cookies to allow, and you can change your choice at any time in your browser settings.

Advertising. We may in the future use advertising services, including Google advertising products, to support the free tier of the Service. If and when we do, those services may set cookies or use identifiers to measure and serve ads, subject to your consent where required. We will update this Policy before enabling advertising, and you will be able to manage your choices through the cookie banner and, where applicable, Google’s own ad settings. Using ads to support a free product is not the same as selling your data — we do not sell your personal information.

5. Third‑party information sources

The Service surfaces information from third parties (for example, government travel advisories, public‑health references, and mapping/place data). Your use of links or content from those sources is subject to their own privacy practices, which we do not control.

6. Data retention

We keep your information for as long as your account is active or as needed to provide the Service, and thereafter as required for legitimate business or legal purposes. Security and audit logs are kept for a limited period and then removed. You can delete trips and documents at any time, and you can request deletion of your account.

7. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and encryption at rest for sensitive document fields. No system is perfectly secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential. For a fuller picture of how we protect your information, see our Security page.

8. Your choices and rights

You can access and update much of your information from within the Service, and you can delete content or your account. Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To make a request, contact us through the Contact page; we will respond as required by applicable law. We will not discriminate against you for exercising these rights.

9. Children’s privacy

The Service is not directed to children under the age required by our User Agreement, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

10. International users

We operate the Service from the United States, and your information may be processed there or in other countries where we or our service providers operate. Those locations may have different data‑protection laws than your own. By using the Service, you consent to this processing.

11. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, provide notice. Your continued use of the Service after a change takes effect means you accept the updated Policy.
